Acceptable Use Policy

The standards every user must follow when accessing the MAP Health Care platform, website and mobile applications.

1Introduction

This Acceptable Use Policy ("Policy") governs the use of the MAP Health Care LTD platform, website, mobile applications, and any associated services (collectively referred to as the "Platform").

MAP Health Care LTD ("we", "our", "us") provides a digital recruitment and workforce management platform designed for healthcare professionals and healthcare providers operating within the United Kingdom.

This Policy is designed to ensure that the Platform is used in a lawful, safe, ethical and professional manner, consistent with the standards expected within the healthcare sector.

By accessing or using the Platform, you agree to comply with this Policy in full. Any breach may result in suspension or termination of your account.

2Scope of This Policy

This Policy applies to all users of the Platform, including:

  • Healthcare Professionals (Candidates)
  • Healthcare Providers (Employers)
  • Agency staff and administrators
  • Contractors and partners
  • Any individual accessing the Platform or its services

It applies to all forms of use, including:

  • account creation and login
  • uploading documents
  • messaging and communication
  • job applications and staffing requests
  • use of mobile applications
  • use of APIs or integrated systems

3Lawful and Ethical Use

You agree to use the Platform only for lawful purposes and in a manner consistent with:

  • applicable UK laws and regulations
  • professional healthcare standards
  • safeguarding obligations
  • employment legislation
  • data protection laws (UK GDPR)

You must not use the Platform for any activity that is unlawful, fraudulent, misleading, harmful, or that may damage the reputation or integrity of MAP Health Care LTD or its users.

4Account Responsibilities

Users are responsible for maintaining the security and confidentiality of their account.

You agree that:

  • all information provided is accurate and truthful;
  • you will not impersonate another person or organisation;
  • login credentials must not be shared with third parties;
  • any suspected unauthorised access must be reported immediately;
  • accounts must be used only by the registered individual or authorised representative.

MAP Health Care reserves the right to verify identity and suspend accounts where inaccurate or suspicious information is detected.

5Professional Conduct Requirements

Because the Platform operates within the healthcare sector, all users are expected to maintain professional conduct at all times.

You agree not to engage in behaviour that is:

  • abusive or offensive
  • discriminatory or harassing
  • threatening or intimidating
  • unprofessional or unethical
  • in breach of safeguarding principles
  • harmful to patients, staff or service users

Any behaviour that compromises patient safety or professional standards may result in immediate account suspension.

6Accuracy of Information

Users must ensure that all information provided through the Platform is accurate, complete and up to date.

This includes:

  • identity information
  • employment history
  • qualifications
  • certifications
  • DBS status
  • right to work documentation
  • contact information

Providing false or misleading information is strictly prohibited and may result in permanent removal from the Platform.

7Prohibited Use of the Platform

You must not use the Platform to:

  • submit false, forged or misleading documents
  • impersonate another person or organisation
  • manipulate recruitment data or records
  • bypass security or authentication systems
  • access accounts or data without authorisation
  • interfere with Platform functionality or performance
  • introduce malicious software, viruses or harmful code
  • scrape, copy or extract data without permission
  • exploit the Platform for commercial misuse outside its intended purpose

Any attempt to compromise Platform security will be treated as a serious violation.

8Document Upload and Verification Rules

The MAP Health Care Platform allows users to upload sensitive compliance and employment-related documentation, including but not limited to:

  • DBS Certificates (Basic, Standard, Enhanced)
  • Right to Work documentation
  • Passport or national identity documents
  • Visa or immigration status documents
  • Professional registration certificates
  • Training and qualification records
  • Proof of address
  • Occupational health documentation

By uploading any document to the Platform, you confirm that:

  • the document is genuine, valid and unaltered;
  • you are the rightful owner or authorised holder of the document;
  • the document has not been forged, modified or misrepresented in any way;
  • all information contained within the document is accurate and complete.

MAP Health Care reserves the right to:

  • verify documents with issuing authorities;
  • reject any document suspected to be false or tampered with;
  • suspend or permanently restrict accounts where fraudulent documentation is identified;
  • retain copies of documents for compliance, audit and safeguarding purposes in accordance with applicable law.

Any attempt to upload falsified documentation is considered a serious breach of this Policy and may result in immediate removal from the Platform and reporting to relevant authorities.

9Data Integrity and Compliance Standards

Users must ensure that all data entered into the Platform is accurate, complete and continuously updated.

This includes, but is not limited to:

  • employment history
  • qualifications and certifications
  • availability and work preferences
  • compliance status
  • identity and contact information

Users must not:

  • intentionally enter false or misleading data;
  • manipulate records to gain unfair access to shifts or employment;
  • alter compliance records without authorisation;
  • bypass validation or verification processes;
  • duplicate or create multiple accounts to misrepresent identity or availability.

MAP Health Care maintains audit logs of system activity to ensure data integrity and may review or investigate user activity where necessary.

Any breach of data integrity standards may result in suspension or termination of access to the Platform.

10Communication and Messaging Rules

The Platform may provide communication features such as messaging between:

  • healthcare professionals
  • healthcare providers
  • MAP Health Care administrators

All communications must remain professional, respectful and relevant to recruitment or workforce management activities.

Users must not use the communication tools to:

  • send abusive, offensive or discriminatory messages;
  • harass, threaten or intimidate other users;
  • share inappropriate, unlawful or sensitive personal data;
  • distribute spam, unsolicited marketing or irrelevant content;
  • attempt to bypass Platform communication controls;
  • solicit personal contact details outside permitted processes;
  • engage in non-professional or unrelated discussions that interfere with Platform use.

MAP Health Care reserves the right to monitor communications where necessary for:

  • safeguarding compliance
  • fraud prevention
  • dispute resolution
  • platform security

Messages may be retained for audit and compliance purposes in accordance with applicable law.

11Security and System Misuse

Users must not attempt to compromise, disrupt or interfere with the security, performance or integrity of the Platform.

Prohibited actions include:

  • unauthorised access to accounts, systems or data;
  • attempting to bypass authentication mechanisms;
  • introducing viruses, malware or malicious code;
  • performing automated scraping or data extraction;
  • reverse engineering or attempting to replicate Platform functionality;
  • testing vulnerabilities without written authorisation;
  • interfering with system availability or performance;
  • using bots, scripts or automation tools without permission;
  • exploiting bugs or vulnerabilities for personal gain.

Any detected security breach or attempted breach may be escalated to law enforcement or relevant regulatory authorities.

12Recruitment Integrity Rules

MAP Health Care operates within a regulated healthcare recruitment environment where integrity is essential.

Users must not:

  • misrepresent qualifications, experience or employment history;
  • accept shifts or placements under false identity;
  • cancel assignments dishonestly or without valid reason;
  • manipulate availability to gain unfair advantage;
  • bypass recruitment processes or verification procedures;
  • provide false references or fabricated employment details.

Healthcare providers are responsible for their own hiring decisions, but MAP Health Care may remove or restrict users who demonstrate dishonest or unreliable behaviour that affects Platform integrity.

13Safeguarding and Professional Responsibility

All users working within the healthcare sector have a duty to act in a manner consistent with safeguarding principles.

Users must:

  • prioritise the safety and wellbeing of patients and service users;
  • comply with safeguarding policies of assigned healthcare providers;
  • report any safeguarding concerns to appropriate authorities or MAP Health Care;
  • avoid any conduct that may place vulnerable individuals at risk.

Users must not:

  • engage in any form of abuse, neglect or exploitation;
  • conceal safeguarding concerns;
  • interfere with safeguarding investigations;
  • fail to escalate serious incidents when required.

MAP Health Care may report safeguarding concerns to relevant regulatory bodies, employers or authorities where legally required or where there is a risk to vulnerable individuals.

14Reporting Violations

Users are encouraged to report any suspected breach of this Policy, including:

  • fraudulent documentation
  • abusive behaviour
  • security concerns
  • safeguarding issues
  • data inaccuracies
  • misuse of the Platform

Reports can be submitted directly to MAP Health Care via official communication channels.

All reports will be reviewed and investigated appropriately. Where necessary, MAP Health Care may take immediate action including suspension of accounts or escalation to external authorities.

15Enforcement and Suspension of Access

MAP Health Care LTD takes breaches of this Acceptable Use Policy seriously.

Where we reasonably suspect or determine that a user has violated this Policy, we reserve the right to take one or more of the following actions:

  • issue a warning;
  • restrict access to certain Platform features;
  • temporarily suspend an account;
  • permanently terminate an account;
  • remove or disable content or documents;
  • block access to the Platform;
  • report conduct to relevant employers, regulatory bodies or authorities.

The severity of enforcement action will depend on the nature, frequency and seriousness of the breach.

In cases involving fraud, safeguarding risks, identity misuse or illegal activity, immediate suspension or termination may be applied without prior notice.

16Investigation Rights

MAP Health Care reserves the right to investigate any suspected breach of this Policy.

This may include:

  • reviewing account activity and usage logs;
  • examining uploaded documents and metadata;
  • verifying information with third parties or issuing authorities;
  • monitoring communications where legally permitted;
  • requesting additional evidence or clarification from users.

Users agree to cooperate fully with any investigation.

Failure to cooperate may result in suspension or termination of access to the Platform.

All investigations will be conducted in a fair, proportionate and lawful manner in accordance with applicable data protection legislation.

17Account Termination

MAP Health Care may terminate a user’s account immediately where:

  • this Policy has been seriously or repeatedly breached;
  • fraudulent or misleading documentation has been submitted;
  • safeguarding concerns have been identified;
  • illegal activity is suspected or confirmed;
  • continued use poses a risk to the Platform or its users;
  • required by law or regulatory authority.

Termination may result in permanent loss of access to the Platform and associated services.

Where appropriate, we may retain certain data after termination in accordance with our Privacy Policy, legal obligations and data retention requirements.

18Cooperation with Authorities

MAP Health Care may cooperate with law enforcement agencies, regulatory bodies, safeguarding authorities and other official organisations where required or permitted by law.

This may include sharing relevant information relating to:

  • suspected fraud or criminal activity;
  • safeguarding concerns;
  • identity verification issues;
  • compliance breaches;
  • misuse of the Platform;
  • security incidents.

We will only disclose information where there is a lawful basis to do so.

19Limitation of Liability

To the maximum extent permitted by law, MAP Health Care LTD shall not be liable for:

  • indirect or consequential losses;
  • loss of income or opportunity;
  • loss of data arising from user misuse;
  • damages resulting from unauthorised access due to user negligence;
  • actions or omissions of third-party healthcare providers;
  • reliance on inaccurate user-provided information.

Nothing in this Policy excludes liability where it would be unlawful to do so, including liability for fraud, death or personal injury caused by negligence.

20Amendments to This Policy

MAP Health Care LTD reserves the right to amend or update this Acceptable Use Policy at any time.

Updates may be required due to:

  • changes in legislation;
  • regulatory requirements;
  • security improvements;
  • operational changes;
  • expansion of Platform features.

The latest version of this Policy will always be published on our website.

Continued use of the Platform after changes have been made constitutes acceptance of the updated Policy.

Users are encouraged to review this Policy periodically.

21Severability

If any provision of this Policy is found to be invalid, unlawful or unenforceable by a competent authority, the remaining provisions shall remain in full force and effect.

22Governing Law

This Acceptable Use Policy shall be governed by and interpreted in accordance with the laws of England and Wales.

Any disputes arising in connection with this Policy shall be subject to the exclusive jurisdiction of the courts of England and Wales.
