Terms & Conditions

These Terms govern your access to and use of the MAP Health Care website, mobile applications, recruitment platform and related digital services.

1Introduction

By accessing, browsing, registering for, or using any part of our Platform, you acknowledge that you have read, understood and agree to be legally bound by these Terms & Conditions together with our Privacy Policy, Cookie Policy and other applicable policies published on our website.

If you do not agree with these Terms, you must immediately stop using our Platform and Services.

These Terms apply to all visitors, registered users, healthcare professionals, healthcare providers, employers, clients, agencies and any other individual or organisation using our Services.

3Definitions

For the purposes of these Terms, the following definitions apply:

Account means a registered user profile created to access the Platform.

Candidate means any healthcare professional registering to seek employment or temporary work opportunities.

Client or Healthcare Provider means any organisation using MAP Health Care to recruit or engage healthcare professionals.

Compliance Documents means documentation required to verify a Candidate's eligibility to work, qualifications or regulatory status, including but not limited to DBS certificates, Right to Work documentation, training certificates, professional registrations and identification documents.

Platform means the MAP Health Care website, mobile applications, recruitment system, document management system and associated online services.

Services means all recruitment, workforce management, compliance management and digital services provided by MAP Health Care.

User means any individual or organisation accessing or using the Platform.

4Scope of Services

MAP Health Care provides a secure digital platform designed to support recruitment and workforce management within the United Kingdom healthcare sector.

Our services may include:

  • Healthcare recruitment
  • Temporary staffing support
  • Permanent recruitment services
  • Candidate registration
  • Employer registration
  • Online job applications
  • Shift management
  • Workforce scheduling
  • Compliance monitoring
  • Secure document storage
  • Credential verification
  • Candidate profiles
  • Employer dashboards
  • Mobile application services
  • Push notifications
  • Internal messaging
  • Administrative reporting

Our Platform is intended to improve recruitment efficiency and compliance processes between healthcare providers and healthcare professionals.

MAP Health Care does not provide medical treatment, nursing care, clinical advice or emergency healthcare services.

Nothing within the Platform constitutes professional medical advice.

5Acceptance of these Terms

By using our Platform you confirm that:

  • you have legal capacity to enter into binding agreements;
  • you are at least 18 years of age;
  • all information provided is accurate and complete;
  • you will comply with applicable legislation within the United Kingdom;
  • you will use the Platform only for lawful purposes.

Where you are acting on behalf of an organisation, you confirm that you have authority to bind that organisation to these Terms.

6Eligibility

Certain Services are available only to registered users.

Healthcare Professionals must:

  • be at least 18 years old;
  • have legal permission to work within the United Kingdom;
  • provide genuine identity documentation;
  • provide accurate employment history;
  • provide accurate professional qualifications where applicable;
  • maintain required registrations and certifications;
  • comply with applicable healthcare regulations.

Healthcare Providers must:

  • operate lawfully within the United Kingdom;
  • provide accurate organisational information;
  • have authority to recruit staff;
  • comply with all applicable employment legislation;
  • comply with relevant Care Quality Commission (CQC) requirements where applicable.

MAP Health Care reserves the right to refuse registration where eligibility requirements are not met.

7Registration and User Accounts

To access certain features, Users must create an account.

During registration you agree to:

  • provide accurate information;
  • keep your information current;
  • maintain accurate contact details;
  • promptly update any changes affecting your account.

Each account is personal unless specifically authorised for organisational use.

Accounts must not be:

  • shared;
  • transferred;
  • sold;
  • assigned to another individual without our written consent.

We reserve the right to verify any information submitted during registration.

8Account Security

Users are responsible for maintaining the confidentiality of their login credentials.

You agree to:

  • use a strong password;
  • keep your password confidential;
  • prevent unauthorised access;
  • notify us immediately if you suspect unauthorised use of your account.

MAP Health Care will never ask for your password by email or telephone.

You remain responsible for all activities conducted through your account until you notify us of any security concerns.

9Accuracy of Information

All information submitted to the Platform must be truthful, complete and accurate.

Users must not knowingly provide:

  • false identities;
  • inaccurate qualifications;
  • altered documentation;
  • misleading employment history;
  • false references;
  • fraudulent Right to Work documentation;
  • invalid DBS certificates;
  • expired professional registrations.

Failure to maintain accurate information may result in:

  • suspension of your account;
  • removal from recruitment processes;
  • termination of access;
  • reporting to relevant authorities where required by law.

10Candidate Compliance Documentation

Healthcare Professionals may be required to upload documentation necessary to demonstrate compliance with legal and regulatory requirements.

Such documentation may include:

  • Passport
  • Driving Licence
  • Biometric Residence Permit
  • Right to Work documentation
  • DBS Certificate
  • Enhanced DBS Certificate
  • Professional Registration
  • NMC PIN
  • HCPC Registration
  • Mandatory Training Certificates
  • Basic Life Support Training
  • Moving & Handling Training
  • Medication Training
  • Safeguarding Training
  • Infection Prevention Training
  • Address Verification
  • Proof of National Insurance
  • Employment References
  • Curriculum Vitae
  • Profile Photograph
  • Bank Details for payment purposes

Users confirm that all documents uploaded belong to them, are genuine, have not been altered and remain valid at the time of submission.

Submission of fraudulent documentation may result in immediate account suspension and referral to the relevant regulatory or law enforcement authorities.

11Verification of Information

MAP Health Care may verify information submitted by Users for recruitment and compliance purposes.

Verification may include:

  • identity checks;
  • Right to Work verification;
  • DBS validation;
  • professional registration verification;
  • qualification verification;
  • employment history checks;
  • reference verification;
  • compliance review.

Verification undertaken by MAP Health Care does not constitute a guarantee of a Candidate's future performance, competence, conduct or suitability.

Healthcare Providers remain responsible for conducting any additional checks they consider necessary before offering employment or engagement.

12Responsibilities of Healthcare Professionals

Healthcare Professionals using the Platform agree to:

  • maintain accurate personal information;
  • upload valid compliance documentation;
  • renew expired documentation promptly;
  • maintain required professional registrations;
  • complete mandatory training where required;
  • attend confirmed interviews and booked shifts unless prevented by exceptional circumstances;
  • notify MAP Health Care of any circumstance affecting eligibility to work;
  • maintain professional conduct at all times;
  • comply with employer policies while engaged on assignments;
  • protect confidential patient and employer information.

Healthcare Professionals are solely responsible for ensuring that the information contained within their profile remains accurate and up to date.

13Responsibilities of Healthcare Providers

Healthcare Providers agree to:

  • provide accurate vacancy information;
  • provide accurate shift information;
  • recruit fairly and lawfully;
  • comply with all applicable employment legislation;
  • comply with health and safety obligations;
  • provide safe working environments;
  • respect equality and diversity principles;
  • protect Candidate information received through the Platform;
  • comply with UK data protection legislation;
  • verify Candidates where required by law before employment commences.

Healthcare Providers remain responsible for all employment decisions and contractual arrangements entered into with Candidates.

14User Conduct

Users must use the Platform responsibly, professionally and lawfully.

You agree not to:

  • use the Platform for unlawful purposes;
  • impersonate another individual or organisation;
  • submit misleading or fraudulent information;
  • upload malicious software or harmful code;
  • interfere with Platform security;
  • attempt unauthorised access to any system;
  • copy or reproduce Platform content without permission;
  • harvest personal information from other Users;
  • transmit spam or unsolicited communications;
  • harass, threaten or abuse other Users;
  • discriminate against any person on protected grounds;
  • breach confidentiality obligations;
  • misuse messaging or notification services.

MAP Health Care reserves the right to investigate any suspected misuse of the Platform.

15User Content

Users retain ownership of the information and documents they upload to the Platform.

By submitting content, Users grant MAP Health Care a limited, non-exclusive licence to process, store, display and use such content solely for the purposes of:

  • recruitment;
  • compliance management;
  • workforce administration;
  • verification;
  • customer support;
  • operation of the Platform;
  • legal and regulatory obligations.

Users are solely responsible for ensuring that they have the legal right to upload any information or documentation submitted through the Platform.

MAP Health Care reserves the right to remove content that is unlawful, misleading, offensive, fraudulent or otherwise breaches these Terms.

16Intellectual Property

Unless otherwise stated, all intellectual property rights relating to the Platform are owned by or licensed to MAP Health Care LTD.

This includes, without limitation:

  • Company name and branding
  • Logos and trademarks
  • Website content
  • Mobile applications
  • Software
  • Source code
  • Databases
  • Platform architecture
  • User interface and design
  • Graphics and icons
  • Documentation
  • Images and multimedia
  • Recruitment workflows
  • Compliance management systems
  • Text, articles and publications

These materials are protected under applicable copyright, trademark and intellectual property laws.

Nothing contained within these Terms grants Users ownership of any intellectual property belonging to MAP Health Care LTD.

Users may not:

  • copy;
  • reproduce;
  • modify;
  • reverse engineer;
  • distribute;
  • publish;
  • licence;
  • sell;
  • commercially exploit;
  • create derivative works from;

any part of the Platform without prior written consent from MAP Health Care LTD.

Unauthorised use may result in legal action.

17Privacy and Data Protection

  • communicate with Users;
  • manage assignments;
  • comply with legal obligations;
  • improve our services.

  • personal identification details;

  • employment history;
  • qualifications;
  • compliance documentation;
  • DBS information;
  • Right to Work evidence;
  • bank details;
  • profile photographs;
  • technical device information;

18Confidentiality

Users acknowledge that information obtained through the Platform may include confidential information relating to:

  • healthcare providers;
  • healthcare professionals;
  • recruitment activities;
  • business operations;
  • commercially sensitive information;
  • patient-related information where applicable.

Users agree not to disclose confidential information except:

  • where legally required;
  • where authorised by the owner of the information;
  • where necessary for recruitment or employment purposes.

This obligation continues after termination of the User's account.

19Third-Party Services

To deliver our Services efficiently, MAP Health Care integrates with carefully selected third-party providers.

Current providers include:

  • Supabase (secure document storage and database services)
  • Google Firebase (mobile notifications and messaging)
  • Apple App Store (application distribution)
  • Google Play Store (application distribution)

These providers operate under their own terms and privacy policies.

While we carefully select trusted providers, MAP Health Care is not responsible for the independent operation, availability or policies of third-party services.

Where third-party services experience outages or interruptions, certain Platform functionality may be temporarily unavailable.

20Electronic Communications

By creating an account, Users consent to receiving electronic communications from MAP Health Care.

These communications may include:

  • registration confirmations;
  • compliance reminders;
  • interview notifications;
  • shift notifications;
  • document expiry reminders;
  • recruitment updates;
  • service announcements;
  • security notifications;
  • password reset requests;
  • legal notices.

Where marketing communications are sent, Users may unsubscribe at any time.

Certain operational and legal communications cannot be opted out of while an account remains active.

21Notifications

The Platform may deliver notifications through:

  • email;
  • SMS (where applicable);
  • in-app messaging;
  • mobile push notifications.

Users are responsible for maintaining accurate contact details.

MAP Health Care cannot be responsible where Users fail to receive notifications due to:

  • outdated contact information;
  • disabled notifications;
  • email filtering;
  • device settings;
  • third-party network issues.

22Platform Availability

We aim to maintain continuous availability of the Platform.

However, uninterrupted access cannot be guaranteed.

Access may occasionally be affected by:

  • planned maintenance;
  • emergency maintenance;
  • software upgrades;
  • infrastructure improvements;
  • cyber security measures;
  • internet failures;
  • telecommunications failures;
  • third-party outages;
  • events beyond our reasonable control.

MAP Health Care will make reasonable efforts to minimise disruption wherever possible.

23Platform Updates

We may update, improve or modify the Platform at any time.

Updates may include:

  • new functionality;
  • security improvements;
  • performance enhancements;
  • interface changes;
  • compliance updates;
  • bug fixes.

Certain updates may require temporary service interruptions.

Continued use of the Platform following updates constitutes acceptance of those changes.

24Mobile Applications

Users accessing our Services through mobile applications acknowledge that:

  • application functionality may vary between operating systems;
  • updates may be required for continued use;
  • certain features depend upon device compatibility;
  • internet connectivity is required for many services.

MAP Health Care is not responsible for limitations resulting from unsupported devices or outdated operating systems.

25Fees and Payments

Unless expressly agreed otherwise, registration on the Platform is free for healthcare professionals.

Healthcare providers may be subject to separate commercial agreements covering recruitment services, staffing services or subscription arrangements.

Where payments are applicable:

  • invoices must be paid in accordance with agreed payment terms;
  • overdue amounts may incur interest where permitted by law;
  • access to certain services may be suspended for persistent non-payment.

Commercial agreements between MAP Health Care and healthcare providers remain separate from these Terms where applicable.

26No Guarantee of Employment

Registration with MAP Health Care does not guarantee:

  • employment;
  • interviews;
  • job offers;
  • assignments;
  • minimum working hours;
  • ongoing placements.

Healthcare providers remain solely responsible for selecting Candidates.

Similarly, healthcare providers are not guaranteed that suitable Candidates will always be available.

27No Professional Advice

Information made available through the Platform is provided for general recruitment and workforce management purposes.

Nothing contained within the Platform constitutes:

  • legal advice;
  • financial advice;
  • tax advice;
  • employment advice;
  • immigration advice;
  • medical advice;
  • clinical guidance.

Users should obtain independent professional advice where appropriate.

28Disclaimer

The Platform is provided on an "as available" and "as is" basis.

While MAP Health Care makes reasonable efforts to ensure accuracy, we do not warrant that:

  • all information is error-free;
  • the Platform will always be uninterrupted;
  • the Platform will always be available;
  • uploaded documents are genuine;
  • Candidates remain continuously compliant;
  • employers will recruit particular Candidates;
  • Candidates will accept employment offers.

Users rely upon Platform information at their own risk.

29Limitation of Liability

To the fullest extent permitted by law, MAP Health Care LTD shall not be liable for:

  • indirect losses;
  • consequential losses;
  • loss of profits;
  • business interruption;
  • loss of opportunity;
  • loss of goodwill;
  • data loss caused by User actions;
  • recruitment decisions made by employers;
  • employment decisions made by Candidates;
  • delays caused by third-party providers;
  • interruption of internet services;
  • unauthorised access resulting from compromised User credentials.

Nothing within these Terms excludes liability for:

  • death or personal injury caused by negligence;
  • fraud or fraudulent misrepresentation;
  • any liability that cannot legally be excluded under the laws of England and Wales.

30Indemnity

Users agree to indemnify and hold harmless MAP Health Care LTD, its directors, employees, contractors and affiliates against any claims, losses, liabilities, damages, costs or expenses arising from:

  • breach of these Terms;
  • misuse of the Platform;
  • submission of inaccurate information;
  • infringement of third-party rights;
  • unlawful conduct;
  • negligent acts or omissions.

This indemnity survives termination of the User's account.

31Suspension of Accounts

MAP Health Care LTD reserves the right to suspend or restrict access to the Platform, temporarily or permanently, where we reasonably believe that a User has:

  • breached these Terms & Conditions;
  • provided false, misleading or fraudulent information;
  • uploaded forged or altered documentation;
  • failed compliance verification requirements;
  • misused the Platform;
  • engaged in unlawful or unethical conduct;
  • attempted unauthorised access to our systems;
  • compromised the security of the Platform;
  • infringed the rights of other Users;
  • used the Platform in a manner that may damage our reputation or services.

Where appropriate, we will notify the User of the suspension and provide an opportunity to resolve the matter. However, immediate suspension may occur where necessary to protect our Users, business operations, or to comply with legal or regulatory obligations.

32Termination

Users may close their account at any time by following the account deletion process within the Platform or by contacting us directly.

MAP Health Care may terminate or permanently disable an account where:

  • these Terms have been materially breached;
  • fraudulent documentation has been submitted;
  • repeated non-compliance has occurred;
  • the account has remained inactive for an extended period;
  • continued access presents a security or legal risk;
  • required by law or regulatory authority.

Termination of an account does not automatically require immediate deletion of personal data where retention is necessary for:

  • legal obligations;
  • safeguarding requirements;
  • fraud prevention;
  • regulatory compliance;
  • dispute resolution;
  • enforcement of contractual rights.

Data will be retained only for the period specified within our Data Retention Policy.

33Account Deletion

Users may request deletion of their account and associated personal data at any time.

Requests will be processed in accordance with:

  • Data Protection Act 2018;
  • our Privacy Policy;
  • our Account & Data Deletion Policy.

Certain information may be retained where legally required, including records necessary for:

  • employment compliance;
  • financial reporting;

  • safeguarding obligations;

  • legal claims.

Where data cannot immediately be deleted, it will be securely restricted until the applicable retention period expires.

MAP Health Care shall not be liable for any delay or failure to perform its obligations where such delay or failure results from events beyond our reasonable control.

These events may include, but are not limited to:

  • pandemic or epidemic;
  • industrial disputes;
  • war;
  • terrorism;
  • cyber-attacks;
  • internet outages;
  • telecommunications failures;
  • power failures;
  • government action;
  • failure of third-party service providers.

We will make reasonable efforts to restore normal service as soon as practicable.

37Changes to the Platform

MAP Health Care continually develops and improves its services.

Accordingly, we reserve the right to:

  • modify Platform functionality;
  • introduce new features;
  • discontinue existing features;
  • update user interfaces;
  • improve security measures;
  • enhance compliance processes;
  • replace or remove services where necessary.

Where significant changes materially affect Users, reasonable notice will be provided whenever practicable.

38Changes to these Terms

We may amend these Terms & Conditions from time to time to reflect:

  • regulatory requirements;
  • improvements to our services;
  • technological developments;
  • security enhancements;
  • business operations.

The latest version will always be published on our website.

Continued use of the Platform after revised Terms become effective constitutes acceptance of those changes.

39Severability

If any provision of these Terms is determined by a court or competent authority to be unlawful, invalid or unenforceable, that provision shall be deemed severed from the remaining Terms.

The remaining provisions shall remain in full force and effect.

40Waiver

Failure by MAP Health Care to enforce any provision of these Terms shall not constitute a waiver of that provision or of any other rights available to us.

Any waiver shall only be effective where expressly confirmed in writing.

41Assignment

Users may not assign, transfer or delegate any rights or obligations arising under these Terms without the prior written consent of MAP Health Care.

MAP Health Care may assign or transfer its rights and obligations where necessary as part of a business reorganisation, merger, acquisition or other lawful corporate transaction.

42Entire Agreement

These Terms & Conditions, together with our:

  • Privacy Policy;
  • Cookie Policy;
  • Acceptable Use Policy;
  • GDPR & Your Rights;
  • Data Retention Policy;
  • Account & Data Deletion Policy; and
  • any additional policies expressly incorporated by reference,

constitute the entire agreement between MAP Health Care and the User regarding use of the Platform.

They supersede any previous agreements, understandings or communications relating to the same subject matter.

43Governing Law and Jurisdiction

These Terms & Conditions shall be governed by and interpreted in accordance with the laws of England and Wales.

Any dispute arising from or relating to these Terms or the use of the Platform shall be subject to the exclusive jurisdiction of the courts of England and Wales.

Nothing in these Terms limits any statutory rights available under applicable law.

45Effective Date

Final Statement
